5-Star.AI for Agencies
This guide explains how an agency can set up client businesses, assign the right access, and run review, feedback, campaign, and social workflows in 5-Star.AI.
The workspace is agency-led. Agency owners can manage the organization; invited teammates only get the businesses and feature permissions explicitly assigned to them.
1. Understand the workspace and roles
OWNER is the organization owner. Owners can see the organization’s businesses, manage business records and teams, and use owner-level workflows.
TEAM_MEMBER is an invited teammate. A teammate sees only active businesses assigned to them and only the features granted for each business. Archived or suspended businesses are not available to teammates.
There is no separate store-owner account type in the current app. A client operator uses the access provisioned by the agency owner; access is not granted just because someone knows a business URL.
2. Set up the agency portfolio
Sign in through the agency workspace or accept the invitation sent by the agency owner.
Open Businesses. An owner can add a business by finding the correct Google Places listing, then confirming the name, address, and location. Each business record is associated with one location.
Check that the business is active and that the Google Business Profile belongs to the intended client and location. Adding a business record and authorizing Google are separate steps.
For social publishing, connect the appropriate provider accounts and select the intended Facebook Page, Instagram account, or Threads profile for each business.
3. Assign teammate access by business
Only an OWNER can manage business teams and invitations from Settings. Assign a teammate to the specific client businesses they need, then choose the narrowest useful permission for each feature.
Campaigns, Review Inbox, Feedback, and Social Media each support NONE, VIEW, or MANAGE per business. VIEW is for reading; MANAGE is needed for actions such as creating, editing, connecting, or publishing.
Analytics supports NONE or VIEW only for teammates. Do not grant or promise Analytics management access; organization-level Insights remain an owner-level view.
Owners can see the organization’s businesses, including archived businesses. Team members are limited to assigned, active businesses. Server-side checks decide whether an action is allowed.
If a teammate cannot open a feature or complete an action, check their assignment and that feature’s permission before changing account connections.
4. Run a campaign and share its review page
Open the selected business’s Campaigns tab and create a campaign from a template or from scratch.
Set a clear campaign name and add relevant keywords or talking points. Review the generated campaign content before sharing it.
Open QR Codes to copy the campaign link or download its QR code. Share the link or display the QR where customers can reach it.
Customers open the campaign in a web browser; they do not need to install a 5-Star.AI app. The public flow helps a customer reflect on highlights, draft and edit their own review, then copy it to Google. It does not submit a Google review automatically.
5. Manage Google reviews
Open Review Inbox for the client business, connect the Google account if needed, and choose the correct Google Business location.
Sync reviews, then search or filter the inbox to find reviews that need attention.
Generate an AI reply draft when useful. A person should review and edit it; publishing requires an explicit confirmation and is not automatic.
Sensitive or low-rating reviews can require approval. Read the warning and confirm the final reply before publishing it to Google.
6. Work with private feedback and analytics
Use Feedback to review customer feedback submitted through the business experience. Treat it as an internal service-recovery workflow, separate from public Google reviews.
Use business Analytics for review, customer-feedback, and campaign activity for one business. Use Insights for the agency-level view across businesses.
A teammate with Analytics VIEW can inspect analytics but cannot be given Analytics MANAGE permission.
7. Publish social content and handle comments
Open Social Media for the business and connect the required provider account. Select the exact available Page or profile the business should publish from.
Create a post, choose its channel or channels, add text and supported media, then publish now or schedule it.
Import public comments for an eligible post and reply from the reply desk when a response is appropriate.
Before switching an account, verify the replacement target. Reconnecting or switching provider accounts does not reset the business’s usage ledger.
8. Usage, provider capacity, and operating boundaries
Business-level app allowances and external provider capacity are separate. Provider capacity can be shared across businesses, so available provider capacity may be lower than a business’s remaining app allowance. Do not promise unlimited reviews, AI actions, or social publishing. Check current usage and provider status when an operation is unavailable.
The app supports reputation campaigns, reviews, private feedback, analytics, social publishing, and comment replies. It does not replace Google or social-network account access; each provider connection and target must be authorized separately.
9. Agency operating checklist
- Confirm the correct business and location before connecting a provider or importing data.
- Assign team members per business and per feature; review access when responsibilities change.
- Review AI-generated customer-facing content before it is copied or published.
- Use the usage guide when an app allowance differs from provider capacity or a publish/import is blocked.
